Job Description:

Role Overview

The Talent Acquisition Operational Excellence Manager provides operational support to the VP of Talent Acquisition and TA Leadership Team. This role is accountable for the effective E2E operations of the TA function, including but not limited to the TA budget and FTE management, operational reporting and driving alignment across business priorities, reporting and communications. To achieve this, they act as the operational connector between TA leadership, Finance, HR and other Enterprise partners to enable an efficient, well-governed, and high-performing function. They manage all operational TA leadership cadences including meetings, offsites and events.

Key Responsibilities

Strategic Operations & Execution
  • Translate TA vision and strategy into clear goals, plans, and deliverables for the team
  • Drive alignment across TA sub-functions. Ensures an integrated view of all related activities across the overall function providing escalations, recommendations, and decision support to leadership.
  • Lead operating rhythm- monthly ops reviews, quarterly business reviews, leadership meetings, offsites, town halls etc.
  • Provide ad-hoc analysis, presentations, or executive materials to support VP strategic decision-making.

Budget & Financial Operations
  • Own and maintain the TA budget tracker, forecasting, and spend analysis in partnership with Finance and HR Business Management.
  • Support annual and mid-year budget planning cycles, providing executive summaries and variance explanations for leadership review.
  • Monitor and report on budget utilization and identify cost optimization or reallocation opportunities.

Leadership Support & Governance
  • Partner closely with the VP of Talent Acquisition to manage priorities, meeting cadence, and follow-through on key deliverables. Serve as central point of coordination for TA leadership team- driving agendas & follow-ups.
  • Draft executive communications, briefing materials, talking points, and follow-up actions
  • Reviews / summarizes key discussions and/or business issues in advance
  • May oversee administrative activities (travel, correspondence, presentations etc.), and provide direction to executive assistant(s)
  • Maintain key TA operating documents (e.g., organizational charts, key initiative trackers, OKR dashboards, and scorecards).
  • The position also requires a highly effective communicator with expertise in providing counsel to senior leaders, and discreetly managing matters that are both sensitive and confidential in nature.

Qualifications
  • 3+ years of experience in HR operations, talent acquisition, or business management support roles.
  • Strong financial acumen, with experience in budget management, expense tracking, and forecasting.
  • Exceptional organizational skills with proven ability to manage multiple priorities.
  • Advanced proficiency in Microsoft Excel, PowerPoint, and Workday (or similar HRIS systems).
  • Excellent written and verbal communication skills; ability to interact effectively with senior leadership.
  • Strong attention to detail and a proactive, solutions-oriented mindset.
  • Possess a high level of integrity and has proven experience in providing counsel to senior leaders and discreetly managing sensitive and confidential matters
  • Able to deal with significant ambiguity and constantly changing circumstances
  • Organizational awareness - know who or where to best to engage to deal with issues
  • Financial acumen and research / analysis skills - able to absorb a steady stream of information (financial and non-financial) and summarize key issues or concerns

  • Undergraduate degree
  • 7+ years of relevant experience
